We are seeking a professional and confidential Personal Assistant to provide high-level administrative and coordination support to three Directors in the Corporate Affairs division. This role also involves collaborating with PA colleagues to support operational activities that contribute to the division's strategic objectives.
What you'll be doing:
- Diary and Email Management: Efficiently manage the Director(s) diaries and email inboxes, responding to and delegating emails as appropriate, ensuring the Director(s) can focus on strategic planning.
- Call Handling: Screen and redirect incoming calls, accurately relaying messages. Resolve issues and collaborate closely with senior colleagues as necessary.
- Meeting Coordination: Prepare and circulate meeting agendas, papers, and reports. Attend meetings as a minute taker when required, providing updates on queries and actions.
- Travel Arrangements: Arrange travel and accommodation, including complex overseas travel and hospitality bookings. Occasionally support other colleagues with travel arrangements.
- Event Management: Maintain a diary of important events, ensuring relevant preparations are completed. Assist in planning events for the Director(s) and the wider CA division, handling logistics, budgeting, and liaising with venues.
- Administrative Collaboration: Work closely with other divisional PAs to provide cover and support, collectively delivering key administrative tasks critical to the division's success.
- Project Participation: Lead or contribute to cross-functional projects, taking ownership of specific tasks and delegating as needed.
Who we're looking for:
- Prior experience as a Personal Assistant at the senior management level.
- Proficiency in electronic diary and email management.
- Advanced IT skills, particularly in Microsoft Office (Word, Excel, PowerPoint).
- Awareness of financial services sector trends, regulatory environment, and external marketplace dynamics.
- Strong initiative and problem solving skills
