Job Responsibility:
Job Purpose
To support the office and IT team with administration. Responsible for sourcing and purchasing the best quality equipment, goods and services at the most competitive prices.
Ensures proper flow of office procedure and supports the office directors by carrying out common office duties. Maintains a positive and friendly company image by acting as the first line of contact with suppliers, visitors and customers.
Key Responsibilities:
Support the IT team with the following;
- Supplier management for IT equipment. Understanding the stock and lead times to satisfy the business.
- Maintain supplier relationships for all locations.
- Ensure other suppliers have been considered to ensure there is a comparison between quotes.
- Be able to work at pace to match the demands of the business.
- Support with IT administration required including PAF. Ensuring approval is sought in a timely manner.
- Support the set up of any new suppliers liaising with the finance team.
- Support Head of IT with monthly budget
General Office:
- Support teams with PAF process as and when required.
- Travel arrangements for visitors & new joiners
- Office & meeting room maintenance
- Office procurement and stock keeping
- Support the General Manager with tasks as and when required.
Qualifications, Skills and Experience
- Experience within an administration role.
- Previous experience with managing and dealing with suppliers.
- Excellent written and oral communication skills.
- Common sense approach with the ability to spot opportunities to simplify and improve processes to drive better results and sound business outcomes.
- Ability to deal with confidential information and maintain confidentiality.
- Positive, proactive and collaborative team player who is also comfortable working autonomously.
- Computer literate - Office 365 all applications (Word, Excel, PowerPoint) and HR systems
- Personal resilience and capacity to work effectively and stay calm under pressure.
- Strong organizational ability
