The Role and the Department

The Student Immigration and Funding Service (SIFS) works with internal colleagues and external bodies to provide high quality advice and support relating to immigration legislation and financial support for both undergraduate and postgraduate students and applicants.

The Service is part of the Student & Academic Services Directorate (SASD), which provides a professional administrative support service to staff, students and potential students of Durham University.

The Academic Registrar is the head of the department and is responsible to the Vice Provost for its management. The following services fall under the remit of the Student and Academic Support Directorate:

  • Widening Access & Participation
  • Academic Quality Service
  • Recruitment and Admissions
  • Student Immigration and Funding Services
  • Student Registry

All the services are based at the Palatine Centre in Durham City.

The post holder will be part of the Scholarships Team within Student Immigration & Financial Services, which administers internally and externally funded scholarships for Undergraduate, Postgraduate, Home and International students. In addition, they will support the Scholarships and Banner Student Aid Manager with the operational aspects of Banner Student Aid (BSA).

You must be a flexible team worker able to take responsibility for managing a varied workload to a high standard. A high level of accuracy, sometimes under pressure, is essential. You will be dealing with highly confidential, and potentially sensitive, information and must ensure that it is kept in accordance with the principles of the General Data Protection Regulations (GDPR) and with the strictest confidence.

SASD operates a hybrid working policy which allows a level of flexibility within the working week.

Essential Criteria

Qualifications/Experience

1. Five GCSE's at least Grade C or level four (or equivalent) including English Language and Mathematics or a Post-16 qualification or equivalent experience.

2. Experience of working in a busy office environment delivering front line administrative services to a high standard.

3. Experience of managing time to meet deadlines and working under pressure without compromising on quality.

4. Experience of providing advice and guidance to a range of customers and colleagues.

Skills/Abilities/Knowledge

5. Excellent spoken and written communication skills including the ability to develop effective working relationships, both internally and externally.

6. Strong digital competence across a range of digital devices and apps including Microsoft 365 applications and web-page production.

7. Ability to solve problems yourself and as part of a team and resolve issues, plan solutions and make pragmatic decisions.

8. Ability to participate in networks to share and discuss good practice and exchange information.

9. Experience of administering Scholarships within a HE environment.

10. A knowledge of university systems, such as Banner, Banner Student Aid (BSA), and Terminal Four.

Desirable Criteria

1. Experience working in a student-facing role, providing direct advice.

2. Ability to effectively network and exchange advice and information for development purposes.

3. Committed to continuing professional development.

Service Delivery

  • Organise and schedule assigned Scholarships, including advertising, processing applications, checking eligibility, and preparing documentation for panels where appropriate.

Teamwork

  • Provide specialist support and advice to team members on Scholarships provision.

  • Identify opportunities and contribute to decisions on how to improve services being delivered by the team.
  • Seek feedback from students on their experience of scholarships and their requirements from your service and recommend improvements to senior colleagues.
  • Support the Senior Scholarships Officer in reactive and proactive service provision to deliver an excellent stakeholder experience.
  • Support the Scholarships and BSA Manager with operational aspects of BSA, providing advice and support to colleagues across the university with any issues they may have.
  • Contribute to business meetings, working groups and committees to help shape service delivery and stakeholder expectations.

Communications/Liaison

  • Use your knowledge and expertise to provide advice and guidance to resolve problems and respond to a wide range of queries.
  • Provide instruction and demonstrations to others within SIFS and the wider university.
  • Create good working relationships with other team members and anyone else that you come across as part of your role to work together on joint activities.
  • Liaise with internal and external agencies to ensure that services are being delivered in an efficient and collaborative way.
