Job Responsibility:
Keys and Notifications Coordinator
Start Date: (subject to finding the right candidate)
Role Description:
Whilst the role has a wide and varied remit, including document and data administration, attention to detail, right attitude and work ethic, key areas of responsibilities are:
· Overall responsibility for the management of keys for all properties under management.
· Arranging viewings and routine property visits where required, having good geographical knowledge of the Edinburgh area.
· Notifying tenants and viewers of property visits and viewings and managing responses.
· Arranging keys and documents for viewings and Routine Property Visits.
· Preparing contractor keys and monitoring key location and access, to group jobs together.
· Logging and monitoring keys and chasing contractors/team for key returns.
· Ordering keys and carrying out regular key audits.
· Noting key issues and liasing with the property manager to resolve such key issues. On occasion testing keys and locks at the property.
· Rescheduling visits and providing holiday cover for the Head of Property Visits.
· Notifying contractors of works required.
· Recording data and information accurately on company database (SAM).
· Greeting and assisting customers in the office and on the phone.
· Monitoring emails and responding to queries.
· Occasional viewings and property visits where necessary.
· Assisting and helping the Lettings and wider SPM team members.
· Monitoring individual and team KPIs to fulfill the core elements of the role.
· Providing suggestions and ideas to improve processes and procedures.
· Attending training and courses for CPD (continuous professional development).

Experience and Qualifications:
· Good level of education and qualifications and/or equivalent experience in a property related role.
· Excellent PC skills, MS Excel, Word, PowerPoint.
· Full driving licence essential (max of 3 penalty points preferred).

Working Hours & Environment
· Full time hours of 08:00 - 17:00hrs, 08:30 - 17:30hrs or 09:00hrs - 18:00hrs, Monday to Thursday (08:00-17:00 on Friday) including 1 hour's unpaid breaks.
· This position will be based from our Edinburgh central office on Nicolson Street however the role may require ad-hoc travel to other locations i.e., properties.
· Flexibility will be expected with regards to hours of work to suit the needs of the business and colleagues.
· The role also requires 1 Saturday a month (5-hour shift), on a rota basis - however, we have reduced this currently to a 4-hour shift from 8.30am to 12.30pm and pay for these days are included in annual salary and Saturdays can be swapped to suit. There is an option to opt out of Saturdays after 6-12 months and any changes will take effect annually.
Benefits:
· Starting salary from £24,750 - £27,000 (depending on experience and aptitude) paid in arrears on the 2nd last working day of the month and would look to review, subject to performance, after 6-12 months. Reviews are conducted annually thereafter with any changes to take effect from 1st January.
· £1,000 pay increase upon achieving all 4 ARLA exams (pro-rata for part-time).
· Pension Scheme after 3 months (contributions matched by the company up to 5%).
· Company Health Insurance after 6 months (choice of 2 options WPA/Westfield Health) up to 5% of salary.
· Opportunity to participate in Profit Share Scheme after 12 months.
· 28 days paid holiday including all bank holidays plus 3 additional personal/wellness days per year which increases every 3 years. Holidays can be difficult to accommodate during the busiest periods.
Company Continued Professional Personal Development Days (CPD):
· The company will take the opportunity to close for 2-4 Saturdays per annum for continued professional and personal development by bringing in speakers to help develop our team and will cover the cost of the training from external companies. Please note that typically this is just 2 Saturdays, the last Saturday in April and the last Saturday in October each year. We are currently reviewing the company training requirements, therefore in 2024, training sessions on a Saturday will change, and instead be held as shorter training sessions on a weekday/evening.
· There is also provision for an additional 2 Saturdays per annum, for Training and Essential Cover Time (TCT). Please note that typically only 1 TCT day is used, during the Christmas period to help the team.
· ARLA level training will be provided with the opportunity to obtain the ARLA Level 6 Qualification funded by the company.
· Additional company sponsored training courses are also available and team members are encouraged to take ownership of their personal and professional development by seeking opportunities to learn.
