Care Visions, established in 1998, is a Scottish-owned Fostering Service and largest independent provider of Residential Child Care Services for children and young people. We are currently looking for an Asset Services Administrator who will provide support to 28 services across Scotland and a fleet of vehicles of 50. You will be part of a small team who will support our care teams provide a safe, nurturing environment for the young people we care for.

Job Summary:As an Administrator within the Asset Services Team you will provide crucial support to the team and our residential services. Assisting with various administrative tasks supporting smooth operations across our business. You will be responsible for maintaining our fleet of service vehicles along with assisting with property related matters. This position requires excellent organisation skills, attention to detail and the ability to work effectively in a dynamic and fast paced environment.

The key duties will include:

  • Supporting the Head of Asset Services and Asset Manager
  • Monitoring the property/vehicle mailboxes
  • Reviewing the property tracker, and updating as necessary
  • Liaising with service staff teams, suppliers and contractors
  • Reviewing annual maintenance works required
  • Creating purchase orders for works required
  • Reviewing invoices, checking works have been completed and costs charged are correct
  • Obtaining multiple quotes for works as required
  • Supporting any insurance claims/update insurers as required

What Experience will you Need?

  • Strong communication skills
  • Excellent organisation, planning and time management skills, with the ability to prioritise
  • Good attention to detail
  • Proficient in use of Microsoft Office packages, in particular Word, Excel and Outlook
  • Customer service focus
  • Ability to work will in a team with a flexible approach to working
  • Continuous focus of improving service and processes
  • Ability to problem solve and use initiative
  • Good appreciation and understanding of the importance of confidentiality.
