About the role

We are seeking an Office & Administrative Assistant to ensure the smooth and efficient operation of AerFin offices. In this role, you will manage administrative tasks, oversee office supplies, coordinate office events, and support employees and visitors to maintain a productive and organized environment.

If you are highly organised, proactive, adept at multitasking, and passionate about delivering excellent service to support both employees and customers for seamless business operations, we'd like to hear from you.

Responsibilities:

  • Welcome customers and guests.
  • Manage phone calls, emails, letters, and packages; direct information to relevant departments.
  • Organise, prepare, and maintain meeting rooms, arrange catering, and maintain office facilities.
  • Ensure high standards for office operations, report repairs, and manage relationships with landlords and service vendors.
  • Oversee office security, health & safety, and fire safety compliance.
  • Maintain physical and digital filing systems.
  • Manage office setup and coordinate with IT for new starters.
  • Order and maintain office supplies and equipment.
  • Handle invoices, expense reports, and other administrative documents.
  • Facilitate cross-department communication and coordination.
  • Assist with internal meetings and conferences.
  • Act as a contact for visitors and employees; support the Executive Assistant as needed.

You will ideally need the following:

  • Relevant experience in an administrative or similar role.
  • Strong verbal and written communication skills.
  • Keen eye for precision and accuracy.
  • Excellent problem-solving abilities with a bent for research and helping others.
  • Outstanding customer service skills to enhance client satisfaction.
  • Skilled in both digital and manual filing, managing business correspondence, and handling confidential information.
  • Strong ability to plan, prioritise, and multitask effectively.
  • Excellent interpersonal skills with adaptability to changing work demands.
  • Competent in Microsoft Office and other office management tools.
  • Willingness to adapt to business needs and priorities.
