About the role

The business has a defined approach to the strategic management of its property portfolio, ensuring that performance is optimised, improving the quality and range of propositions, as well as increasing the financial performance of the organisation, ensuring the values of the business are never compromised.

The Building and Fire Safety Teams are responsible for a large proportion of fire risk programmes within A2Dominion's portfolio including detailed inspections, cladding remedial works, fire door replacement and other fire or building related repair works. includes the creation of a new Building Information Register as part of the Building Safety Act 2022.

Reporting to the Programme Manager - Performance & Data, this role will manage a variety of data and systems, to develop collaborative solutions in line with evolving business needs and to be a catalyst for driving business process improvement.

The post holder will carry out all administrative duties to support Fire Safety and Building Project teams with their finance management, data analyst reporting and to ensure all KPIs and regulatory requirements are achieved and/or exceeded. They will have an eye for detail and an ability to see the picture behind the numbers.

The officer is expected to play an important role in supporting the delivery of major projects, the building and fire safety asset register by going the extra mile to research accurate building information. The role will also assist with programme management in reporting and monitoring on the performance of the planned programme of remediation and regeneration work for A2Dominion's building portfolio and ensure appropriate compliance requirements throughout the duration of the programme are met.

They will need to coordinate the information we receive from our various stakeholders and build and maintain those relationships to ensure excellent data quality and timely reporting.

Across both business areas we are looking for a hard-working individual, motivated by innovation and enthusiastic about developing and implementing new tools to improve our asset intelligence, reporting and enhance our understanding of performance. We require tech savvy individuals, with strong business acumen, experience with project management tools with the flexibility and agility to deliver.

Some Key responsibilities:

- To provide high-quality property management services by performing administrative activities as needed and meeting tight deadlines efficiently.- To acquire data from primary or secondary data sources and maintain databases in line with business requirements.- To manage and maintain the correct allocation of assets to properties and assets to maintenance contractors ensuring that supplier and contractor systems are robustly reconciled.- To be responsible for liaising with both internal and external stakeholders to ensure data and processes are fit for purpose.- To assist in and support the provision of internal consultancy services providing high levels of customer service to all customers.- To be responsible for monitoring and reporting on the condition, relevance, and quality of data and take appropriate steps to research, resolve conflicting data and errors.- To maintain and improve a range of dashboards that measure performance and progress.- To lead with the design and implementation of mini-projects and service improvement activities.- To interpret data, analyse results using statistical techniques.- To insist on adequate programme control in any projects being worked on, embedding quality e-document management and version control of all actions or projects.- Assist by acting as the default programme management office for fire associated projects, providing adequate administrative support for both Building and Fire Safety teams.- To proactively work with all stakeholders to identify opportunities for reducing costs and improving service delivery through analysis of data and information.- To manage the buying process for both Building and Fire Safety teams.- To maintain, report and forecast planned expenditure.- Provide all stakeholders with relevant financial models and updates.

More about you:

- Degree level qualification.- Experience of utilising systems and complex data sets to identify trends and opportunities.- Experience in creating Data models to measure performance and analyse information.- Ability to design and implement tools and dashboards to present property performance.- Ability to service and maintain stock data with expertise in analysis and employing big data to improve asset intelligence.- Knowledge of IT project management and delivery principles.- Minimum of advanced level MS Excel, including pivots and manipulating large complex datasets for reporting.- Excellent verbal and non-verbal communication skills and ability to engage effectively with stakeholders across the business.- Ability to coordinate large datasets and professionally present information to a high level.- Ability to autonomously manage ad-hoc projects on tight deadlines.- Experience of building relationships to achieve a shared objective managing people and/or teams either directly or indirectly.- Demonstrate drive and determination, ability to manage own workload, prioritise and meet deadlines.
