About the role:

As Novation's Administrator, you will ensure the smooth transition of clients through the novation process, facilitating the seamless integration of acquired businesses into our operations. You will be preparing agencies, managing policies, and maintaining databases to achieve effective novation outcomes. By efficiently handling these tasks, you will contribute to the successful integration of new business and the overall effectiveness of our operations. Having great attention to detail and ability to manage multiple aspects of the novation process will be essential in maintaining high standards and ensuring client satisfaction.

About you:

You are a detail-oriented professional with exceptional organisational skills and a strong ability to communicate effectively with providers to obtain and document important requirements in writing. You excel at transmitting these requirements to relevant teams for action and handle sensitive client data with strict confidentiality and compliance.

You are proficient in accurately updating and maintaining client records in Intelliflo, adhering to compliance standards, and utilizing and monitoring Intelliflo tasks and workflows to ensure deadlines are met. You are adept at maintaining and updating spreadsheets related to novation activities, ensuring efficient and compliant novation processes. Your work results in accurate and up-to-date client records, timely completion of tasks, and comprehensive documentation and reporting.

You thrive in a fast-paced and dynamic environment, demonstrating an ownership mentality with a commitment to timely task completion. Your previous experience in a similar role highlights your strong reporting, analytical, and data management skills, and you are familiar with regulatory requirements in the financial services industry, particularly under FCA regulations.

Key Responsibilities include:

  • Communicate with providers to obtain and document important requirements in writing.
  • Transmit provider requirements to relevant teams for action.
  • Handle sensitive client data with strict confidentiality and compliance.
  • Prepare and send Letters of Authority (LOAs) and Change of Agency (COAs) to providers.
  • Ensure timely submission and processing of documentation to providers.
  • Accurately update and maintain client records in Intelliflo, adhering to compliance standards.
  • Utilise and monitor Intelliflo tasks and workflows to ensure deadlines are met.
  • Maintain and update spreadsheets related to novation activities.
  • Efficient and compliant novation processes.
  • Accurate and up-to-date client records in Intelliflo.
  • Timely completion of tasks and adherence to workflows.
  • Comprehensive documentation and reporting.

Essential skills and experience

  • Proficiency in Intelliflo with a strong understanding of its functionalities.
  • Knowledge of providers, platforms, and agencies within the financial services sector.
  • Advanced skills in Microsoft Office Suite (Teams, Project, Excel, Word, PowerPoint).
  • Exceptional organisational skills with strong communication abilities.
  • Ability to thrive in a fast-paced and dynamic environment.
  • Ownership mentality with a commitment to timely task completion.
  • Previous experience in a similar role, demonstrating strong reporting, analytical, and data management skills.

Desirable skills and experience

  • Additional certifications or qualifications related to financial services or data management.
