Job Responsibility:
Job OverviewWe are seeking a professional and friendly Administrator/ Receptionist to join our team. The ideal candidate will be the first point of contact for patients, providing exceptional customer service. This role requires excellent organisational skills, attention to detail, and the ability to manage multiple tasks efficiently in a busy office environment.
Duties
- Greet and welcome visitors in a warm and professional manner.
- Have an understanding of Physiotherapy and the conditions that we treat within the specialism.
- Answer phone calls, monitor voicemail and reply to emails with correct etiquette
- Perform clerical duties such as invoicing, alphabetical filing, and maintaining office records.
- Manage the diary system for patient bookings with precision, filling the physiotherapists appointments and maintaining their lists.
- Other administrative tasks include managing correspondence, bill paying, managing stock and handling patient queries.
- Manage and update patient records as required, observing the rules of data protection.
- Update and communicate information to other team members.
- Maintain an organised reception area, ensuring it is tidy and presentable at all times.
- Support team members with additional tasks as required.
Skills
- Proficiency in clerical duties and be able to demonstrate competency in previous administrative roles.
- Excellent organisational skills with the ability to prioritise tasks effectively.
- Demonstrate the ability to multitask, use initiative and lateral think when necessary.
- Demonstrate strong administrative capabilities with attention to detail.
- Previous roles working as an Admin lead would be advantageous.
- Professional phone etiquette to ensure positive communication with clients.
- Demonstrate the ability to work independently referencing previous roles as well as working as part of a team.
